Follow-up that happens whether or not anyone remembers

The three-touch sequence on a cold enquiry, the fee reminder on the 8th, the absence alert at 9:42 AM. None of these need a person to decide to do them — and when they depend on one, they get skipped exactly when the office is busiest.

  • Automated 3-touch WhatsApp and SMS drip on cold enquiries
  • Fee due and overdue reminders with payment links
  • Broadcasts to a batch, class or filtered segment
  • AI-drafted messages, approved by a human before sending

What runs automatically

The sequences that matter in an institute

  • Cold-enquiry drip

Three touches on WhatsApp and SMS, spaced automatically, on any enquiry that goes quiet. Replies come back into the shared inbox for a human to take over.

  • Fee reminders

Due and overdue reminders per installment, each carrying a Razorpay payment link so the parent can pay from the message.

  • Absence alerts

Sent to the parent the moment a student is marked absent — the highest-value automation most institutes can switch on.

  • Monthly progress reports

AI-written attendance and exam summaries sent to every parent automatically, without a teacher having to write them.

  • Broadcasts

Schedule changes, exam announcements, admission deadlines and results to a whole batch, class or filtered segment.

  • AI drafting

Describe the message and the AI writes the broadcast. Nothing sends until a person approves it.

    How the AI works

Human in the loop

Automated sending, approved content

There is an important line here, and SCRMAI draws it deliberately. Pre-approved templates — reminders, alerts, drip touches — send automatically, because their content is fixed and you signed it off once. AI-drafted content, which is new each time, always waits for a person to read it before a single parent receives it.

  • Templates you approved once send without further action
  • AI-drafted broadcasts and replies require human approval
  • Meta template approval status tracked inside Settings
  • Every message is logged against the lead or student record

FAQ

Frequently asked questions

Will automated messages get our WhatsApp number blocked?

Not when they run through the official Meta WhatsApp Cloud API with approved templates, which is how SCRMAI works. The risk you are thinking of comes from unofficial gateways and bulk sending on a personal number — which is exactly what moving to the Business API avoids.

Can we edit the drip sequence content?

Yes. The messages are your templates, written by you and submitted to Meta for approval through SCRMAI’s Settings. The automation controls timing and triggering; you control what it says.

Does AI send messages without us seeing them?

No. AI-drafted broadcasts and AI-suggested inbox replies are proposals that a person approves before sending. What sends automatically are the fixed templates you approved in advance — reminders, alerts and drip touches.

Which plan includes automation?

Fee reminders and absence alerts are available from Starter. The automated three-touch cold-enquiry drip, AI-drafted broadcasts and AI progress reports are included on Professional and Business.
