Still Using Excel and WhatsApp for Admissions? Where Leads Can Be Missed
Excel and WhatsApp are familiar tools in admissions offices. A spreadsheet can hold names and phone numbers, while WhatsApp makes it simple to answer a parent. The challenge begins when several people are working from different files, devices and conversations.
This is not an argument against either tool. It is a way to identify the points where a shared process may be needed, especially when enquiry volume or the number of team members increases.
Information can live in too many places
An enquiry may start in a web form, move into a spreadsheet and then continue in a personal WhatsApp chat. Notes from a phone call might sit in a notebook. A campus visit may be recorded only in a calendar. When the information is spread across these places, it can be difficult for another counsellor to see the full context.
A shared enquiry record gives the team one place to note the source, conversation history, next action and current status. The objective is continuity, not extra data entry.
Spreadsheets do not show the next conversation by themselves
A spreadsheet can show when an enquiry was added, but it does not automatically explain which family needs a reply today or what was agreed in the last call. Teams often create extra columns, colours and filters to manage this. That approach can work for a small, stable process, but it needs a clear owner to keep it current.
For a closer look at the workflow itself, see why manual follow-ups become hard during admission season.
WhatsApp conversations need a team context
Parents may prefer WhatsApp because it is convenient. The issue is not the channel. The issue is whether the relevant conversation can be seen by the next person who speaks with the family, with permission and appropriate access controls.
Keep official parent conversations in an account managed by the institute rather than in an individual staff member’s personal chat history. A shared inbox and a written response process make handovers more straightforward.
Try a simple audit before changing tools
Take a small group of recent enquiries and ask four questions:
- Can the team identify the original source of each enquiry?
- Can a colleague see the last meaningful conversation?
- Does every enquiry have a named next step and a date?
- Can the family be removed from a follow-up list when they ask?
The answers can show whether the current process is clear enough or whether it needs a shared system. Related signs are covered in five signs a school has outgrown spreadsheets.
Choose a process before choosing software
Write the stages an enquiry moves through, decide who owns each stage and agree when a record is closed. Once those decisions are made, a lead management system can keep the process visible without forcing the team to reconstruct it in separate tools.
